Position Description: 

Reporting to the Director, EPMO, the Senior Project & Portfolio Analyst will be responsible for supporting Enterprise Project Management Office (EPMO) in delivering high-quality service to the organization. This role is responsible for supporting the effective operations of the Enterprise Project Management Office and the management of the organization’s Strategic Project Portfolio. In addition, this role will provide project management support to specific projects throughout the organization. The successful candidate will have a passion for process improvement, enabling team performance and shared success, developing effective ways to communicate detailed information to a broad set of stakeholders and managing strategic projects.

The individual for this role must have experience with configuring and supporting Project & Portfolio Management (PPM) tools, project management, agile methodology, data analytics and reporting, process definition, support, and continuous improvement. Additionally, experience in effectively supporting internal team members as well as organization-wide partners is important. As such, this role is instrumental in advancing the core project management office disciplines and promoting these practices throughout the company.

The Senior Project & Portfolio Analyst must be able to take direction, apply critical thinking, and work independently to deliver agreed outcomes.

Essential Duties & Responsibilities

The Senior Project & Portfolio Analyst will…

  • Support the effective operations, processes and workflows of the Enterprise Project Management Office, which may include but is not limited to the following: coordinating project intake and closeout, overseeing and managing key PPM tools, reporting and analyzing project-level data to drive action, assisting with project and portfolio financials reporting, forecasting and reconciliation, creating and maintaining standard templates.
  • Take a service-oriented approach to enabling the success of Enterprise Project Managers and Business Project Leads supporting a variety of high-priority, cross-functional projects
  • Manage key EPMO and EPMO-led meeting and communication preparation, including weekly status meeting and Project and Portfolio reviews with cross-functional and executive leaders
  • Work with project managers and the Director, EPMO to develop and maintain an effective process for ongoing progress reporting and communication with regards to the overall Strategic Project Portfolio and active projects within the portfolio
  • Provide exceptional project management for the full lifecycle of high-priority small – medium size strategic projects
  • Support the organization’s overall efforts to effectively deliver projects and realize the resulting benefits by partnering with business/IT/Project Managers to support day-to-day administrative activities, assisting with capacity and resource planning and developing and sharing FAQs, how-to guides and project management best practices throughout the organization
  • Identify process improvement opportunities and take initiative to recommend and implement changes
  • Communicate (verbal and written) effectively and work with all levels of the organization
  • Accurately record project meeting notes, share with attendees and follow-up on action items
  • Work in a fast-paced environment with limited direction and/or specific instructions

  • Bachelor’s degree in Business Administration, Science or equivalent combination of industry related professional experience and education
  • 4+ Years’ experience in project/portfolio management, analysis or coordination in a corporate environment
  • Understanding of Project Key Performance Indicators (KPIs), Green-Yellow-Red (GYR) Metrics
  • Demonstrated skills developing effective communications and tools in Microsoft Excel, Powerpoint, PowerBI or equivalent reporting tools, Visio, SharePoint, Microsoft Teams
  • Experience in conducting effective virtual meetings
  • Experience in managing project financials and good understanding of CapEx and OpEx fundamentals
  • Experience developing project schedules, milestones using Work Breakdown Structures (WBS)
  • Excellent track record of leveraging  interpersonal and communication skills to build strong, service-oriented relationships across functional business areas
  • Demonstrated proficiency in use of project management tools such as MS Project, Daptiv, Smartsheet, Clarity
  • Working knowledge of Agile tools such as Jira, Confluence
  • Working knowledge of spend management tools such as Coupa
  • Experience implementing repeatable processes and driving automation or standardization
  • Experience using formal business process improvement methodologies
  • Self-starter with ability to work independently

  • Able to organize steps into a documented process

Preferred Qualifications

  • Experience in retail/tire industry or distribution
  • Certified Scrum Master (CSM) certification
  • PMI’s Certified Associate in Project Management (CAPM) certification
