Position Description: 

The Payroll Operations/Systems Manager is responsible for effectively managing all US payroll operations, optimizing processes and overall compliance in a fast-paced environment. Responsible for the accurate and timely completion of payroll for all US associates. Resolves complex payroll issues in compliance with company policy, federal, state, and/or local wage and hour laws and tax laws. Interprets developments in tax or wage and hour laws and implements changes to payroll processes or system set up to maintain legal compliance. Responsible for Workday System payroll & time tracking ongoing system maintenance. Supports projects from other departments that touch upon the Payroll system and controls (including but not limited to Benefits, HR, and Compensation). Responsible for preparation and accuracy of quarterly and annual payroll tax reporting, timeliness of related withholding deposits and payment of other amounts deducted from associates’ pay.

Essential Responsibilities:

  • Manage the payroll staff, production of weekly & biweekly payroll and all related reporting.
  • Organize the workflow and processes in the department, sets priorities, work schedules and delegates assignments to ensure timely and accurate payroll production and reporting; gives detailed instructions to subordinates for carrying out their duties.
  • Coach and develop associates in the performance of their duties.
  • Preparation of all required payroll reporting, e.g., tax withholding, W-2s, journal entries.
  • Maintain thorough and complete knowledge of payroll administration and payroll taxes; ensure payroll changes are accurate, timely and thoroughly tested.
  • Respond promptly and accurately to associates' payroll-related questions.
  • Maintain current knowledge of company policies and procedures and ensure consistent application of these.
  • Make suggestions and recommendations for improving the work timeliness, accuracy and/or production in the department; make suggestions for changes in procedures and/or forms.
  • Continually review procedures and strive for consistent improvement of internal controls and streamlining of current processes and procedures.
  • Maintain an environment that stresses and encourages excellent customer service.

Education & Experience:

  • Bachelor’s Degree
  • 5+ years of Payroll experience.
  • 3+ years leadership experience.
  • Experience with Workday Payroll required.
  • Strong working knowledge of applicable US federal, state and local rules and laws and broad knowledge of global compliance needs.
  • Experience with in-house payroll processing for US based employees.
  • Ability and comfort of working in a fast pace and rapidly growing environment.
  • Knowledge of accounting principles and practices.
  • Strong analytical and problem resolution skills.
  • Demonstrated ability to coach and develop others.
  • Ability to collaborate, consult and partner with all levels and work well in a team environment
  • Excellent interpersonal communications (verbal and written).
  • Ability to maintain a high level of confidentiality; strong knowledge of data privacy and cyber security.
