Position Description:
The primary role of the Office Administrator is to track, validate and/or track all shipping documentation that enters/exits the Mixing Center using computer software (IMS) and other forms to ensure accuracy and timely delivery schedules. He/she provides administrative support for the operations team by generating and processing all designated documents daily, answering and directing incoming phone calls, and researching any inventory documents as needed. Coordinates building and maintenance issues for general repair and updates and maintains contact list of all vendors. Maintains record keeping of all shipping documents (ASN’s, vendor invoices) for future references and monitors incoming and outgoing mail to appropriate delivery. Maintains office equipment, inventory supplies and orders replacement supplies as needed.
Primary Responsibilities:
- Uses computer software (IMS) daily to generate an “Intransit” report to gather and print all advanced shipping notifications (ASN’s) for shipments that are in transit to the Mixing Center.
- Verifies the ASN shipping details by comparing the piece counts and weights against the shipper documents; collects and files all ASN reports for future references.
- Pulls existing ASN’s from filing cabinet for next day or upcoming deliveries as needed; provides the documentation to warehouse personnel daily.
- Answers and directs phone calls for all vendor business related inquiries and routes incoming calls to the correct department staff member as needed; welcome visitors and provides assistance as needed.
- Updates IMS periodically by entering information on empty containers and proof of delivery (POD) information to effectively manage all inbound schedules.
- Assists inbound coordinator with researching any necessary transaction documents or discrepancies based on specific information as needed.
- Maintains all record keeping of shipping documents (ASN’s, vendor invoices) for future references.
- Monitors incoming and outgoing mail; receives and sign for mail/packages from couriers and deliver to
- Proper recipient; receives dropped UPS/ FedEx packages from the gate keeper as needed.
- Coordinates building and maintenance issues for general repair and updates; maintains contact list of all vendors and writes correspondence emails vendors/suppliers as required.
- Responsible for adhering to all company policies and safety procedures and reporting any unsafe conditions to Management.
- Monitors and maintains office equipment, inventory supplies and order replacement supplies as required.
- May assist other departments with administrative or clerical support.
- Any other applicable duties and responsibilities assigned by management.

Experience(s) that Best Prepares You:
- Education: High school diploma or GED preferred but not required
- Experience: Computer literacy is required. Exposure to Word and Excel is preferred.
