Position Description: 

The Dispatcher works under the direction of the Inventory Control Manager and in coordination with other key operations personnel to ensure effective inbound/outbound scheduling. Issues Bill of Ladings (BOLs) forms that have not been picked up by carriers to the gatekeeper daily. Maintains all applicable spreadsheets to keep track of trailer/carrier in-house inventories to ensure adequate inventory par levels. Uses the ATD SharePoint website to update all outbound shipments for Hub & Spoke and outbound schedules. Prepares all distribution centers and Hub & Spoke BOL’s, and packing slips to be distributed accordingly, files all in-house shipping paperwork for record keeping. Adheres to all company policies and department procedures and reports any non-compliance manager/supervisor.

Primary Responsibilities:                                                          

  • Communicates with gatekeeper regularly to confirm all incoming trailers and ensure accuracy (trailer exchanges, increased inventory of trailers) of the daily trailer pool. 
  • Utilizes Blue Yonder Yard Management system to update departure times of outbound trailers. 
  • Prepares and issues Bill of Ladings forms that have not been picked up by carriers to the gatekeeper daily to be monitored the following day as needed. 
  • Obtains printed Bill of Lading” (BOL’s) forms to match and sort in accordance with the picking slips; fills in delivery time, serial numbers, trailer numbers, and shipment ID’s accordingly. 
  • Obtains schedule pick up sheets from gatekeeper to determine which trailer loads need to be picked up by carriers daily; notifies carriers of loads requiring pick up as needed. 
  • Receives new trailer loading schedule in advance from the outbound coordinator to prepare the mixing center load schedules. 
  • Assigns the appropriate trailers to be loaded on Excel spreadsheets and forwards the updated spreadsheet (trip number, delivery number, trailer number, dock number, carrier name, and distribution center name) to the operations management team for proper handling. 
  • Maintains the “yard log” in Blue Yonder to keep track of trailer/carrier in-house inventories on a regular basis to ensure adequate inventory par levels on site. 
  • Receives shipping ID information from all incoming drivers (loading numbers, load destination) to direct the driver(s) to the correct loaded trailer.  
  • May report any damaged carrier/trailer reported by the Yard Jockey to operations management as needed; sends notifications to applicable carrier to schedule repairs as required. 
  • Updates all carriers on scheduled trailer loadings that are not being picked up as planned daily. 
  • Maintains records of all BOL’s, packing slips, and load manifest to be in compliance with the free zone trade Federal mandates. 
  • Enters updated scheduled appointments into C3 for DC outbound loads. 
  • Communicates directly with Redwood Logistics and outbound carriers if there are issues with outbound trailers or deliveries to the DC or customers.   
  • Prepares all distribution centers and Hub & Spoke BOL’s, and packing slips to be distributed accordingly; files all in-house shipping paperwork for record keeping. 
  • Maintains Master outbound spreadsheets on the ATD SharePoint website to update all outbound shipments for Hub & Spoke and outbound schedules; records other data on SharePoint (trip numbers, delivery numbers, task count and tire counts) to track accordingly. 
  • Uses the ORACLE system to find delivery numbers and packing slip to enter on all applicable outbound and Hub & Spoke schedules. 
  • Responsible for adhering to all company policies and department procedures and reporting any non-compliance by team members to manager/supervisor.  
  • Any other applicable duties and responsibilities assigned by management.

Experience(s) that Best Prepares You:            

  • Education:  High school diploma or GED preferred but not required 
  • Experience: Computer literacy is required.  Exposure to Word and Excel is preferred.

  • Work environment: While performing the duties of this job, the associate is exposed to weather conditions prevalent at the time. The noise level in the work environment is usually moderate.
