Position Description: 

The Analyst – Supply Chain Purchasing and Replenishment is responsible for executing the purchasing strategy and the daily, weekly and monthly transmissions of all purchase orders, for ATD and NTD, for the vendors they have under their responsibility. This includes the reviewing the system recommendations and releasing (approving) the purchase orders for their vendors within the vendor, shipping and receiving constraints documented. The analyst’s vendors can represent both domestic and international vendors and the operations teams involved in the process will be different based on the purchasing method. In addition, the Analyst will be responsible for processing changes to the flow of product and manage the impact on the ordering process where necessary. The Analyst will participate in vendor collaboration meetings to ensure that the Supply Chain targets are being met – these include inventory targets, fill rate targets, DOH targets, etc. The Analyst will also support vendors and SC Operations issues related to any aspect of the purchase order life cycle – order / weight minimums, delivery scheduling, carrier failures, conflict resolution, receiving issues, discrepancies.

Job Description – Primary Responsibilities

  • Collaborate with the Supply Chain Planning team on the order planning process – depending on the type of purchase, domestic versus international, daily, weekly or monthly
  • Drive analysis required produce special order recommendations to deliver inventory levels required to support projected sales (demand plan)
  • Proactively collaborate with vendor customer service personnel for –
    • Compliance with vendor’s shipping and ordering requirements
    • Order Placement – ensure completeness and accuracy
    • Order changes, cancellations, etc. including backorder cleanup
    • Regular, periodic vendor product order reconciliation
    • Regular, periodic “Promise Date” updates, including determination of appropriate lead times
    • Coordination between ship-to location and vendor for resolution of issues and questions as necessary
    • Supports requests for different delivery dates and alternatives based on changes in the transportation market, carrier failures, missed delivery windows
    • Ensure accurate vendor ASN updates into all appropriate processes and systems
    • Regularly monitor container arrival dates for accuracy and resolve pertaining issues leading to continued improvement
  • Reviews and releases orders according to the vendor agreement
    • Ensure orders are within vendors minimum shipping requirements
    • Ensure orders a released on the pre-arranged schedule with the vendor
    • Confirms order receipt and acknowledgement 
  • Release and transmit monthly orders for assigned vendors and engage with Guangzhou Representative Office associates on monthly order execution –
    • Ensure orders within vendor’s capacity to produce
    • Collaborate with Director Global Logistics on orders to meet freight limits
    • Collaborate with MWH General Managers on orders to meet receiving limits
    • Identify and develop alternative plan when needs exceed capacity to ensure that order can be executed without issues
  • Manages all aspects of the order lifecycle including available to fill, initial shipments, back order process, order aging, discrepancies and order clean up to ensure that product ordered flows in a well-controlled way while ensuring the data is accurate and up to date.  
  • Addresses any issues that come up in the flow of product for a purchase order.  This includes communications with the vendors, transportation companies or ATD/NTD distribution. 
  • Functions as the primary point of contact for the vendor customer service personnel
  • Understands the vendor’s ordering and shipping requirements, product return policies and procedures, vendor terms, vendor programs, etc. 
  • Proactively identify stock out issues, determine root cause, and resolve pertaining issues leading to continued improvement.
  • Actively participates in vendor collaboration meetings and represents purchasing function as the subject matter expert
  • Review MWH inventory to determine needs for rebalance opportunities
  • Coordinate with business to ensure proper inventory levels at stocking ship-to locations.
  • Process “Special Orders” and “Customer Vendor Direction Shipment Orders”
  • Support business with ad-hoc analysis and reporting resulting in recommendations
  • Execute prioritization logic for MWH to ensure associates work on most important items each and every day
  • Generate product arrival reports for partners at MWH providing single point visibility to all inbound loads at each MWH
  • Develop new service offerings for the business as needed e.g. Customer Vendor Direct Shipment (CVDS) Process
  • Responsible for monthly purchases in range between $80M and $120M 
  • Responsible for managing corporate inventory in range between $70M to $100M
  • Responsible for purchase for the American Company (ATD) and Canadian Company (NTD) and effective communications with both organizations
  • Collaborate closely with the Guangzhou Representative Office associates on all activities related to the production and flow of product from Asia to the U.S. and Canada
  • Identify opportunities to shift work from the U.S. to Guangzhou Representative Office as and where it makes sense
  • Some travel for this position may be required to vendor sites which can include travel overseas to Guangzhou, China.  Collaboration and training on new functionality.

Requirements

  • Education:  4 year accredited college degree preferably in Business, Supply Chain or Technical area. 
  • Experience:  Strong analytical background preferably in inventory / purchasing / supply chain with exposure to forecasting and replenishment concepts / systems / processes. Experience and success working in a team environment.  Industry and product knowledge exposure helpful.
