Position Description: 

Under the general direction of the General Counsel, support the Legal Department and support the smooth running of the Contract Lifecycle Management tool and its roll out across the business. Also performs administrative duties for the Legal Department. Manages tracking and communication of contract expirations, renewals to ensure that the relevant business party and function is given time to address. Learns and becomes the department expert on the Contract Lifecycle Management tool to support the tool's allocation of contract requests and review requests among the Legal team. Prepares reports from the Contract Lifecycle Management tool and supports its roll out, identifies gaps in the process and helps drive gap closure activities associated with the Contract Lifecycle Management tool.

Primary Responsibilities:

  • Provide operational support to the Legal Department, including, but not limited to, support to the Contract Lifecycle Management Process, answering questions and providing data entry and related support for contract requests, and the docketing management system.
  • Support the team in their work to budget legal and risk expenses
  • Support the legal function in a variety of tasks from assisting with clerical tasks, collection of due diligence material, processing discovery requests and processing department administration functions
  • Create documents in Word, Excel and PowerPoint
  • Circulate documents for execution both physically and using E-signature tools
  • Uploads and configures form contracts and provisions in the Contract Lifecycle Management tool
  • Analyzes contracts and confers with relevant parties and legal counsel to detect ambiguities, inaccurate statements and omissions of essential terms, and identifies potential conflicts with legal prohibitions
  • Reviews documents for accuracy and recommends necessary modifications
  • Drafts and communicates corporate legal agreements, letters and other correspondence, as requested
  • Makes travel arrangements, assists in maintaining required supplies and processes expense reports for the Legal Team.
  • Manages corporate business filing

Experience(s) that Best Prepares You:

  • Education: Minimum Required: High School Diploma, Preferred Level: college education
  • Experience: Minimum required: 6 years’ experience as administrative or executive assistant. Preferred Level: 10+ years administrative experience, high attention to detail and proof reading skills. Experience working in a law firm a plus.

Knowledge and Skills:

  • Minimum Required: Basic knowledge of Microsoft package and Outlook, Typing of 60 wpm, Good communication and organizational skills, Good attitude and people skills, flexibility
  • Preferred Level: Minimum requirements plus advanced knowledge of Microsoft package. Experience working with senior level management.
  • Such alternatives to the above qualifications as the company, in its discretion, may find appropriate and acceptable.
  • Tape and fax receipts for President’s expense reports

  • Physical demands: While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle or feel objects, tools or controls; reach with hands and arms; climb stairs; balance, stoop, kneel, crouch or crawl; talk, hear, taste and/or smell; the employee must occasionally lift and/or move up to 150 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
  • Work environment: While performing the duties of this job, the employee is exposed to weather conditions prevalent at the time. The noise level in the work environment is usually moderate.
  • Travel required: 5% of the time, travel may require overnight stays.
